How can companies enforce CO2 limits and sustainability goals within a mobility budget?

Yes. With Mbrella, employers can manage mobility budgets according to their own mobility policy, including rules on sustainable mobility, budget limits, and allowed expense categories.

Can Mbrella link mobility expenses to CO2 reporting?

Yes. Mbrella helps companies gain better insight into their mobility data, including costs, travel, and CO2 impact. These insights can be used to optimise mobility policies and support sustainability reporting.

This is particularly relevant for companies looking to better understand their Scope 3 emissions or prepare for reporting requirements such as CSRD.

Can different rules apply to different employee groups?

Yes. Mbrella allows employers to create rules for different roles, teams, or user groups. This means a company can set different mobility budgets, limits, or allowed options depending on the profile.

This makes it possible to apply a sustainable mobility policy flexibly, without manual tracking in spreadsheets.

Does Mbrella offer an EV charging card linked to company budgets, for public charging sessions ?

Yes. With Mbrella Charge, employees get access to a smart charging card and mobile app, allowing them to charge at the vast majority of public charging stations in Belgium. For fleet and mobility managers, charging costs are centrally managed within the Mbrella platform.

What happens with charging sessions that are not included in the company mobility policy?

Mbrella Charge supports split billing. Costs that fall within company policy are covered by the employer, while costs outside the policy can be automatically charged to the employee.

Is Mbrella Charge linked to the mobility budget?

Yes, it can be. Mbrella is designed to centrally manage mobility budgets and expenses in general. This allows EV charging costs, public charging sessions, home charging, and other mobility expenses to be tracked within a single platform.

Why use an EV charging card via Mbrella?

Because Mbrella offers more than just a charging card. Employers gain control over charging costs, budgets, policy rules, reporting, payroll integrations, and anomaly detection. Employees benefit from a simple charging experience through one card and app.

Does Mbrella support reimbursement for home charging of electric vehicles?

Yes. With Mbrella, employers can easily and compliantly reimburse home charging costs for electric company cars.

How does it work in practice?

Mbrella enables automatic processing and reimbursement of home charging sessions based on:

  • The number of kWh charged
  • A correctly applied rate (such as the CREG reference tariff or a company-specific policy)

Is the reimbursement with Mbrella fiscally compliant?

Yes. Mbrella supports reimbursements in line with Belgian regulations, where the CREG reference tariff is commonly used as a cap for tax-free reimbursements.

Do I need a specific charging station or provider?

It depends. Mbrella integrates with various charging solutions and data sources (Last Mile Solutions, Optimile, Greenflux, Total Energies and Blink) for home and office solutions. Although for public station you have the full flexibility in your choice of hardware or provider.

Why manage this through Mbrella?

Instead of using a standalone reimbursement tool, Mbrella centralises all mobility expenses:

This results in less administration, better control, and a consistent mobility policy.

Do reimbursement rates depend on where the employee lives?

Yes, CREG rates vary by region and are based on the employee’s place of residence.

What are the CREG flat rates used for?

They set the maximum per-kWh amount employers can reimburse employees for charging a company EV at home.

Are home charging reimbursements taxable for employees?

No, as long as the reimbursement is based on actual electricity costs and follows CREG guidelines.

Why is a charging budget so important? I didnt have a budget on fuel cards.

A charging budget is important because electricity costs vary significantly based on location, time of use, and provider rates, unlike fuel card pricing, which is often standardised. It helps control expenses, ensuring employees or fleet drivers do not exceed allocated charging limits, especially when using public chargers with fluctuating tariffs.

How home charging reimbursement work?

Home charging reimbursement works most of the time via split billing. The system tracks the energy used for charging the company car and automatically sends the cost data to the employer or fleet manager, who then reimburses the employee accordingly. This ensures accurate and hassle-free reimbursement without manual tracking or complex calculations.

What are the supported countries you can use Mbrella Charge?

The supported countries are the countries in geographical Europe. So the European Union + The United Kingdom, Switzerland, Iceland, Norway, Serbia, Bosnia & Herzegovina, Montenegro, Kosovo, North-Macedonia and Albania. You can check the availability in the Mbrella Charge app. Country restrictions on where charging can take place can be set up.

What is a charging pass?

In the shape of a physical or virtual card, a pass is designed to allow electric vehicle drivers to easily access and pay for charging services across multiple charging networks. A virtual pass is a digital version of the pass available in the Mbrella Charge app.

Will employees need their own charging card if their session does not comply with the policy rules (charging abroad, using fast chargers, etc.)?

Any charging session that does not comply with the company's policy will be charged to the employee privately, typically via your credit card. That's why it's mandatory for you to add a valid payment method in the Mbrella Charge app at any time.

Which charging networks is Mbrella Charge compatible with?

Mbrella Charge has established connections with the vast majority of public chargers in Belgium. This means that as a user, you'll have access to a wide range of charging stations across the country including: Last Mile Solutions, Optimile, Greenflux, Total Energies and Blink.

As an employee, do I need to pay extra BIK for the availability of a charging station and the reimbursement of electricity?

The charging station or cable needs to have a communication system (OCPP) that can differentiate the electricity used for the company car with the electricity used for other means in the household. Then there is no extra BIK for the charging station and the used electricity. Important is also to mention the reimbursement of the electricity costs in the car policy.

Who can have a charging station at home?

The choice who can have a charging station lies with the employer. The employer decide who can get a home charging station in theory. From a practical point of view this depends on the electricity availability and the available space at the house of the employee. An inspection can always be done by the installer before ordering the home charging station.

How are charging costs determined?

Charging sessions are usually defined based on eurocents per kWh. Homecharging sessions are most of the time reimbursed based on the CREG-tariff. Charging price can also have fees based on eurocents per minute charged and/or eurocents per session started. Don’t forget that chargers also have idling fees! Fast chargers are more expensive as they have more power than ‘normal’ chargers.

How can I reduce my company’s EV charging costs?

By using Mbrella Charge, you can control costs by setting monthly budget limits, applying country-specific restrictions, and selecting approved charging providers. You can also allow or disallow public and fast charging while setting up alerts for excessive costs, peak-hour charging, or high public charging usage. Additionally, monthly cost overviews help monitor expenses and ensure compliance with company policies.

As an employee, how can I charge when there is no space for a home charging station?

A smart cable can be an option. A few things need to be taken into account:

  • The cable needs to be compatible with the platform used. Make sure the cable can use the Open Chargerpoint Protocol (OCPP) to communicate to your platform. The OCPP is the standardised and open language that charging stations use to communicate with the management system;
  • The driver should know how to use it safely (no extension cords, not a long distance from the circuit board, ...);
  • It's recommended to install a 400V CEE connection if there is a need for frequent charging.
What is Smart Charging?

Smart charging uses real-time data to automate the charging process. Based on your personal preferences the system will adapt the charging of your EV based on electricity prices & grid demand. The smart charger starts and stops charging at the best times, saving you money by charging when rates are lowest.
